Cub Scouts Pack 49
Committee Meeting Minutes July 8, 2011
- We will not be doing individual Scout accounts for popcorn. All funds will be going to the Pack.
- We are pending approval for the following dates for popcorn sales:
- Raley’s: We have approval for August 13 and 27. Still waiting for approval on August 20.
- Nugget: We have turned in the application to work September 3, 10, & 17.
- Wal-Mart: Joe will be turning in the application to work September 24, October 1, and October 8.
- The times will be 10 am to 6 pm and we are going to have the shifts run from 10-1, 1-4, and 4-6.
- Goal for each shift will be $1000. We will work on shift thermometers to have at the table so that the boys can mark off their progress.
- Popcorn advertising: We will work on collages showing activities that the proceeds from popcorn can help support.
- Worked on a sketch for the upcoming year’s calendar:
- January- Tree collecting. Potential spaghetti feed.
- February- Blue & Gold celebration.
- March- Pinewood Derby.
- April- Easter @ Stonegate Elementary with Scepter Masonic Lodge. Potential baked good sale at the booth and flyer hand out. We will have to confirm with the Lodge on what they are comfortable with allowing us to do.
- May- Crossover/Arrow of Light.
- June- Family campout (maybe combine with Rockets??)
- July- Summer camp. Rockets in the Park.
- August- Popcorn. Space Derby supply handout.
- September- Recruiting handout flyers. Fall roundup (bicycle rodeo).
- October- Halloween party.
- November- Canned Food Drive. We need to determine if we are going to donate to Sacramento Food Bank or find a local food cabinet.
- December- Christmas Party. Gingerbread houses. We would like to speak with someone in charge of the West Sac Christmas tree lighting event to see if we can participate at all.
- We need to set up a Back to School night committee.
- We will target three schools- Stonegate, Southport, and Bridgeway.
- Webelos will attend Stonegate’s back to school night.
- Wolves will attend Bridgeway back to school night.
- Bears will attend Southport back to school night.
- We have to find out Back to School schedule.
- 2011 Remaining summer events
- July 23rd- swim day at West Sac Recreation Center. Rec Pool is open 12-4 pm. (Side meeting for parents to further discuss 2012 calendar.)
- Rockets in the Park- 10-2. Families provide sides and a dozen cupcakes per den.
- Caves- August 20. This is not a pack-sponsored event. Families will pay upon arrival to the site. We will designate a meeting place and caravan down.
- Changes for next year:
- Each event/activity will have a team lead in charge of delegating duties. They will be responsible and report to the committee as things progress.
- One person will be responsible for fundraising efforts. One person with money and a receipt book for all transactions. There will be a contract for the leader stating that they take full responsibility for the event and any missing product/funds.
- Den Leaders to set up emergency file for their boys. The file should include all contact info for parents/kids, copies of Youth Protection certificate, and insurance information for the boys whose parents are no longer required to stay with them.
- Boy’s Life radio box on application to be highlighted so that we can properly input in system.
- October pack meeting will be all about recruiting. We will have Space Rockets Derby and Ice Cream social.
- Jacob has contacted Ricci Dula regarding flyers at Back to School time and dates for handing out. Joe has contacted the school district regarding the flyer handout and will be providing them with the proof for it.
- There was an inquiry into the status of the Wicked West Pizza Party for the winner of the card sales fundraiser.

Committee Meeting Minutes
June 3, 2011
Ø Youth Protection- Many parents are flagged as not having valid Youth Protection Training. Den leaders to work with parents on obtaining certificates of completion for us to keep in our files. Also to inform parents without Youth Protection that it must be completed.
o For the future, it was brought up that we could have the parents complete YP training at den meetings.
o Confirmed that as of May 16, 2011 Youth Protection must be updated every two years.
Ø Next committee meeting we will work on calendar planning and a budget for the 2011-2012 Scouting year.
Ø New judging for quality units- Journey to Excellence. We are on track for many of the areas.
o We need to follow up on leader-specific training and check into our membership numbers to calculate retention.
o All leaders can and will take leader training online.
o BALOO trained: Joe Luna, Dax Castro, and Kathi Thweatt.
Ø Family Campout: Den leaders to provide Dax with final head count at the pack meeting.
o Details: We will be staying overnight at Rancho Seco on Friday, June 24 and spending the day there doing activities on Saturday, June 25.
o It costs $25 per campsite.
o Check in/out time is 12 noon.
o We will be charging $15 per family to participate. There is a one car per family limit; if a second car is brought the family will be responsible for additional charges.
o Each family is responsible for their own food.
Ø Rockets in the Park will be July 30th.
o Joe Luna has stepped forward to coordinate.
o We have approved a budget of $60 to go toward launchers and $30 for food.
o We will be providing hot dogs, water, buns, and condiments. Families attending will bring sides and a dozen cupcakes.
Ø Next pack meeting will be June 13 at Touchstone Park.
o Parents to be informed to bring chairs, towels, and that there is no restroom on site.
o Kathi to look for A-Frame for signage on the street to alert families of the pack meeting.
Ø Den Leadership
o Joe Luna will be Den Leader for Webelos 2.
o Ken Addleman will be Den Leader for next year’s Wolves.
Ø Fall Roundup
o Dax to get in touch with Lowe’s as a venue.
o Dax to count helmets as we are certain there will be enough to handle this year’s event.
o City has not finalized distribution of funds so we do not have grant money yet.
o Child ID program from Masons to be present.
o We will place yard signs in front of the school as advertising.
o Date: September 17, Saturday morning.
Ø Fundraising- Popcorn
o Jacob will be attending training for popcorn sales.
o We are doing away with any monetary accounts for the boys for fundraising, but we would like to find some sort of reward for their efforts. Ideas included Jamba Juice gift card.
o We will need to figure out shifts for the boys to work at grocery stores for group sales days.
o Think of popcorn as a fundraiser to support Boy Scouts of America, not necessarily as an effort for our pack specifically.
o Sales will be September through Mid-October.
Ø Other fundraising ideas
o Chili cookoff including big name companies competing against each other.
o Pinewood Derby for adults in conjunction with chili cookoff or spaghetti feed.
o Spaghetti Feed- difficult to do at VFW due to no kitchen use. We probably should find a bigger venue. Some places to look into: OLOG, RC, West Sac City Hall, Camp Pollock Lodge.
o January works well logistically to hold a spaghetti feed; Joe has volunteered to head this.
o Dax to contact local vendors to see if they have signed any contracts with the discount card guy to see if maybe we can print our own.
o Potential fundraising planning meeting to be held at a later date.
Ø Need to determine who is in charge of Twilight Camp?
o Find out from the leaders- who is going, parent and child? Who has paid and where the funds are coming from?
Ø Camp Lassen
o Roster based on who has paid given to Dax by 06/13/2011.
o Collect camp fees for Lassen: due by 06/13/2011.
o Collect physical forms: due by 07/13/2011.
o Note: it costs $149 for a parent to attend Camp Lassen on top of the boy’s fees.

If you are going to camp you need to do two thing. First, email dax@daxcastro.com to let him know your son is going to camp and if you are planning to attend as well. Second, you need to download the physical form, firearm permission slip and hold harmless forms. Please print these out and fill them out. No forms, no camp, no exceptions. Your physical must be signed by a physician and all 3 parts (AB&C) must be filled out. If you have any questions please email Cubmaster Castro and he will be happy to answer them. Most of the campsites have cots and cabins for the boys and canvas tents with cots for the adults, but we need an accurate headcount to ensure we have enough space for everyone. Thanks!!

Ready to get started on raising money for camp? Super!!! Download your Discount Coupon Order Script here. This is a color Photo sheet that you can hand to the person at the door as you go door-to-door to help them see how fun camp is. There is also a base script you can use to help you know what to say. Feel free to modify it if you want, but remember to avoid saying “would you like to BUY….” because “Buy” is a negative response trigger and will prompt them to fall back on their habits of saying No when anyone asks them to buy something. Good luck and remember to be in uniform when you sell and NEVER go out without and adult with you right there at each door for safety. We do accept checks and they must be made out to Cub Scout Pack 49.
